Privacy Policy

This policy explains what personal information we collect when you use our website, contact us or book a call, how we use it, and the rights you have over it.

Who we are

This website is run by Valentis (UK) Ltd, a company registered in England and Wales (company no. 09372025), registered office 6-8 Great Eastern Street, London EC2A 3NT. In this policy, "Valentis", "we" and "us" mean Valentis (UK) Ltd. We are the controller of the personal information described here, and we handle it in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.

If you have any questions about this policy or how we handle your information, email info@valentis.co.uk, call +44 20 3371 8844, or write to us at 6-8 Great Eastern Street, London EC2A 3NT.

What we collect

  • Enquiry form: your name, email address, phone number and anything you choose to tell us in your message.
  • Discovery call booking: your name, email address, phone number, the time you choose and any answers you give in the booking form.
  • Emails and calls: your contact details and whatever you tell us when you get in touch directly.
  • Website analytics, only if you accept analytics cookies: the pages you visit, how you arrived at the site, your device and browser type, and your approximate location (country or city). We do not use this to identify you.

Please do not send us sensitive information, such as health details, through the website. If we need information like this to help you, we will ask for it in a secure way.

If you become a client, we collect further information to deliver our services and to meet our legal obligations, including the identity checks required by anti-money-laundering law. How we use client information is set out in our engagement letter and the privacy notice we give you when you engage us.

How we use it, and our legal basis

  • To reply to your enquiry and to arrange and hold a discovery call — because it is in our legitimate interests to respond to people who contact us, and because you have asked us to take steps before possibly entering into a contract.
  • To understand how our website is used and to improve it — only with your consent, which you can withdraw at any time.
  • To meet legal and regulatory requirements, such as anti-money-laundering checks, record keeping and responding to lawful requests — because the law requires it.
  • To protect our business, for example to prevent spam or fraud through our forms — because it is in our legitimate interests.

We will not send you marketing unless you have agreed to it, and you can opt out at any time. We never sell your personal information.

Who we share it with

We only share your information with organisations that help us run our website and business, and only as much as they need. They may only use it on our instructions.

  • LeadConnector (HighLevel), which provides our enquiry form and booking calendar and stores the details you submit through them.
  • Google, which provides Google Analytics — only if you accept analytics cookies. We set it up so that your data is not used for ad personalisation.
  • Cloudflare, which hosts our website.
  • IT, email and software providers we use to run our business.
  • Professional advisers, insurers, regulators, HMRC or law enforcement, where we are legally required to or need to in order to protect our legal rights.

International transfers

Some of our providers store or process information outside the UK, including in the United States and the European Economic Area. Where they do, we make sure your information is protected by safeguards recognised under UK data protection law — for example, a UK adequacy decision (including the UK–US data bridge), or the UK International Data Transfer Agreement or Addendum.

How long we keep it

We keep personal information only for as long as we need it. If you contact us but do not become a client, we keep your enquiry and booking details for up to two years after our last contact with you, then delete them. Client records are kept for as long as the law and our professional obligations require — usually six years after our work for you ends.

Google Analytics data is kept for up to 14 months and then deleted automatically.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict or stop using your information, or object to how we use it
  • ask for your information in a portable format
  • withdraw your consent at any time, where we rely on it

To use any of these rights, email info@valentis.co.uk. We will respond within one month. There is normally no charge.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.

Keeping your information safe

We use appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access, and we only give access to people who need it. No website or internet transmission is completely secure, but we take care to protect what you send us.

Cookies

Our website only sets analytics cookies if you agree to them. Our Cookie Policy explains what we use and how to change your choice.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
